How to Create an ATS Friendly Resume

You applied to forty jobs and heard nothing back. You assume nobody liked your profile. Often, nobody ever saw it.
Most mid-size and large companies use software called an Applicant Tracking System, or ATS. It reads your resume file, pulls out the text, and scores it against the job. If the software cannot read your file properly, your resume is ranked low or dropped entirely. No human is involved in that step.
Here is how to write a resume that machines can read and humans still enjoy.
Use a single column layout
This is the biggest one. Those attractive templates with a coloured sidebar down the left side are a problem. When the software reads the page, it often mixes the sidebar text into the main text, and your resume becomes nonsense.
One column. Top to bottom. Boring is safe.
Avoid tables, text boxes and graphics
Many ATS tools skip content inside tables and text boxes entirely. So your skills section, sitting neatly in a table, may simply not exist as far as the software is concerned.
Also remove: photos, logos, icons, charts showing "Excel: 90 percent", and headers or footers. Content placed in the header or footer of a Word document is frequently ignored.
Use standard section headings
Call your sections by their normal names: Summary, Work Experience, Education, Skills, Certifications, Projects.
Do not get creative. "My Journey" and "What I Bring" confuse the parser. It is looking for the standard words.
Use the keywords from the job advert
The ATS scores you against the job description. If the advert says "Google Ads" and your resume says "PPC campaigns", the software may not connect the two.
Read the job advert. Note the exact skill words it repeats. Then make sure those exact words appear in your resume, in places where they are true. Never lie. Just use their vocabulary for the things you have actually done.
A useful trick: write the full form and the short form once each. "Search Engine Optimisation (SEO)". That covers both searches.
Write achievements, not duties
This part is for the human who reads you after the software passes you through.
A duty line says what you were supposed to do. An achievement line says what happened because you did it. Compare:
- Duty: "Responsible for handling social media accounts."
- Achievement: "Grew Instagram following from 4,000 to 19,000 in eight months and increased enquiries by 40 percent."
The second one is specific and it has numbers. Numbers make a resume believable. Use them everywhere you honestly can: rupees, percentages, team size, number of accounts, time saved.
Keep the file format simple
Save as PDF unless the application specifically asks for Word. A PDF keeps your layout stable across machines. Some older ATS tools prefer DOCX, so read the instruction on the form.
Name the file properly: Ankit-Verma-Digital-Marketing-Resume.pdf. Not resume final final 2.pdf.
Length and font
One page if you have under five years of experience. Two pages after that. Nobody needs three pages before fifteen years.
Font: Calibri, Arial, Helvetica or Times New Roman, size 10 to 12. No decorative fonts. The software may fail to read unusual fonts and the human will find them hard work.
Add a short summary at the top
Three lines. Who you are, your years of experience, and your strongest two skills. This is the first thing a human reads, and it is often the only thing they read carefully.
Skip the old style "Objective: To work in a challenging environment where I can grow." It says nothing and it wastes the most valuable space on the page.
Check your work
Here is a quick test that costs nothing. Open your PDF, select all the text, copy it, and paste it into a plain text file. If the result is readable and in the right order, an ATS will probably read it correctly too. If it is scrambled, your layout is the problem.
The honest summary
An ATS-friendly resume is not a clever trick. It is simply a clean, plain, keyword-honest document that puts your real achievements in a form both software and people can read.
If you would rather have it done for you, our resume service rebuilds your CV in ATS-safe format, uses the keywords from real job adverts, and sends you both Word and PDF files that you can keep editing yourself.
